The Administrative Director's Office reports directly to the Dean of the College of Engineering and Petroleum.

General Objective of the Administrative Director's Office:

The overall objective of the Administrative Director is to supervise the administrative and financial aspects of the college and serve the scientific departments and various work centers. The office aims to overcome all obstacles that may hinder the educational process, provide a suitable academic environment, and support the various activities offered by the college. It constantly strives to provide services, meet the needs and requirements of the college's work, and respond promptly to the faculty's needs.

Tasks and Responsibilities

Main Tasks and Responsibilities of the Administrative Director's Office:

  1. Enumeration of the workforce in the college, including employees and staff.
  2. Listing occupied, vacant, and approved grades for administrative positions in each academic year for the college.
  3. Enumeration and updating of faculty members' data in the college annually.
  4. Monitoring recruitment requests for technical and administrative staff in the college after approval for hiring, following the required tests in coordination with relevant university departments.
  5. Supervising the necessary procedures to fill vacant administrative positions in the college.
  6. Monitoring the attendance, regularity, and departure of employees according to the regulations and decisions in this regard.
  7. Monitoring the process of obtaining entry visas for faculty members from embassies within the country.
  8. Monitoring the periodic and annual reports and trial period reports related to evaluating the performance of employees in the college, approving them by the college dean, and then sending them to the Human Resources Department.
  9. Participating in the preparation of the college's budget project and monitoring expenditure items from the college budget.
  10. Ensuring the procedures for requesting and disbursing additional pay and settling loans allocated to the college's management.
  11. Full supervision of cleanliness and the general appearance of the college, overseeing the implementation of agricultural work with the relevant administration.
  12. Coordinating with relevant departments to provide telephone service to work centers in the college.
  13. Supervising the inventory of the college's furniture, scientific equipment, cleaning tools, and stationery, sending them to the Purchasing and Storage Management, ensuring that office equipment is not piled up.
  14. Monitoring the implementation of regulations and procedures regarding the college's requests for equipment and devices in coordination with scientific departments and external entities.
  15. Supervising the service works of the college and coordinating with various university departments, such as (Construction and Maintenance Management, General Services Management, Security and Safety Management, Storage Affairs Management, Nutrition Management, Furnishing and Housing Management).
  16. Overcoming all difficulties arising within the college and finding necessary solutions, whether related to college management or staff.
  17. Participating in issuing regulations related to organizing work within the college.
  18. Presenting requests from college employees regarding the approval of non-renewal of their contracts and terminating or accepting their resignation from work to the relevant authorities after approval from the college dean.
  19. Supervising the receipt and delivery of incoming and outgoing mail from post offices to the college.
  20. Taking all administrative procedures (appointments/secondments/resignations/retirements) concerning departments affiliated with the college in coordination with the General Secretariat, following the regulations in force.
  21. Monitoring the college's strategic plan, specifically related to the Administrative Director's office details.
  22. Participating in preparing the requirements for obtaining ISO certification and ensuring its continued application after obtaining the certificate for the Administrative Director's office at the college.
